What this website collects, why, and how to tell us to stop.

Effective

Port is a Planning Center data-import tool built by Threefold Solutions. In this policy, "Port", "we", "our" and "us" mean Threefold Solutions operating the Port product.

What this policy covers

This policy covers this website, www.port.church — the marketing pages, the blog, and the contact form. It is a short policy because the site does very little: it takes what you type into one form, and it counts page views if you let it.

It does not cover the Port application atapp.port.church, which is where your church's data is actually imported into Planning Center. That service is governed by the terms presented to you at purchase. This website does not connect to Planning Center and never sees your church's records.

If your church uses Port and you want to know what happens to a congregant's information, that question belongs to your church and to the application's terms, not to this page.

What we collect

Information you send us

When you fill in the contact form, we collect your name, your email address, and your message. Whatever you choose to put in the message is up to you, so please don't paste congregant records or other sensitive data into it — describe the file instead. The same information reaches us if you email us directly.

The form also carries two anti-spam signals: a field that is hidden from you and only filled in by automated submissions, and a count of how long the page was open before you pressed send. Neither identifies you, and both exist only to keep bot submissions out of our inbox.

Information collected automatically

Our hosting provider records standard web server information for every request: IP address, browser and operating system, the page requested, referring page, and the time. These logs are used to keep the site running, and to investigate abuse or attacks. They are not used to build a profile of you.

Analytics, only if you accept

We use PostHog and Google Analytics 4 to understand which pages are useful, and PostHog also reports JavaScript errors so we can find pages that are broken. These tools load only after you accept on our cookie banner. SeeCookies and analytics below.

We do not run advertising or social media pixels on this site, and there is no advertising network collecting anything here.

How we use it

  • To answer your enquiry, and to follow up on it.
  • To quote or scope a migration if that is what you have asked about.
  • To operate, maintain and secure the website.
  • To understand which pages people find useful, so we write more of what helps — only where you have accepted analytics.
  • To comply with the law where we are required to.

We reply to enquiries; we do not add you to a marketing list on the strength of a contact form submission. If we ever send you something other than a reply, it will carry an unsubscribe link.

We do not sell, rent or trade your information.

Cookies and analytics

A banner on your first visit asks whether analytics may be remembered, and your answer controls what runs:

  • If you decline, or have not answered: our analytics tools do not load, set no cookies, and build no visitor profile.
  • If you accept: PostHog and Google Analytics 4 load and may set first-party cookies so that repeat visits can be recognised as the same visit history. This tells us which pages get read and which get abandoned. It is not used for advertising.

The one thing stored without your consent is your answer itself, which is kept in this browser's local storage and exists purely so we can honour it. To change your mind later, use Cookie settings in the footer of any page, or clear this site's data in your browser — clearing site data is also what removes any cookies already set.

Who else sees it

Contact form submissions go to the Threefold Solutions team, who answer them. Beyond that, your information is handled by the service providers we use to run the site:

These providers may only use your information to provide their service to us. We may also disclose information where we are legally required to, or where it is necessary to protect our rights, our users, or the safety of others.

Your information may also transfer to a third party as part of a sale, merger or reorganisation of the business.

How long we keep it

We keep contact form submissions and the email threads that follow them for as long as we need them to answer you and to keep a record of the work, and then for as long as our business and tax records require. Server logs are kept for a short operational window by our hosting provider. Analytics data is retained according to each provider's settings, and is deleted on their schedule.

If you want us to delete what you have sent us, email info@port.church and ask. We will do it unless we are required to keep a record.

Your choices

  • Ask what we hold. Email us and we will tell you what we have from you, and send you a copy.
  • Correct it. Tell us what is wrong and we will fix it.
  • Delete it. Ask, and we will delete it unless we have to keep a record.
  • Withdraw analytics consent at any time through Cookie settings in the footer, or by clearing this site's data in your browser.

Depending on where you live, you may have further rights over your personal information under local law. Email us and we will honour them.

Security

The site is served over HTTPS, and access to contact form submissions is limited to the people at Threefold Solutions who answer them. No website or transmission can be guaranteed secure, which is the reason for the request above: don't put sensitive congregant data in a contact form.

Children

This website is aimed at church staff and is not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has sent us information through this site, email us and we will delete it.

Where your information is processed

We operate in the United States, and the providers listed above process and store information in the United States. If you contact us from elsewhere, your information will be transferred to and processed in the United States.

Changes to this policy

We may update this policy. When we do, we will change the effective date at the top of the page. Material changes will be described here rather than made quietly.
